Job Description

Looking for a document controller cum receptionist who has a strong experience in general administration.  Must have 3 years of experience as Document Controller & total 5 years of experience as administrator in UAE.  Maximum age should be 31  Should be young, smart , easy going and well presentable  Must manage front desk  Must be well versed in MS office  Must be from real-estate background.  Salary Offered maximum of AED 4500(not negotiable) +annual ticket + medical insurance +employment visa  Working hours from 8:30 am – 5:30 pm (Sunday – Thursday) Document Controller  Scan, log, file documents hard and softcopy, update incoming log and email to respective department  Assist Managers in their daily works such as (type correspondences, file, print, scan, follow up letter status, send emails)  Prepares Agreements such as (Agency Agreement, Tenancy Contract, Amendment to PPSA, PPSA, transmittal, Checklist form, and acknowledgment form)  Ensure Proper Documentation for every incoming and outgoing document from different department such as Bank Transfer Receipt, Cheque Received Voucher, Cash Receive Voucher, Title Deeds, Lease to own title deeds, Project letters etc.  Assist Customer Service in getting Green File in archive room and make acknowledgement form for the releasing of documents such as (PPSA, Amendment, Consolidation Letter, Discount Letter, NOC, Sales Offer to Purchase)  Scan, File, Make a copy and acknowledgement form of title deed for Client and send email to (Customer Service and Finance)  Receive Reservation Form from Operations Dept. including all relevant documents; passport, visa, etc. Update File and Contract Inventory  Create checklist for the file, adding all relevant information in the hanging file, other supporting documents.  Submit Monthly Report on the first working day of every Month.  Update the Management with complete assessment of the documents & marketing materials in every six months.  Report of the daily activities to be send as weekly Report to the Line Manager

Job Requirements

Reception  Answer all incoming calls and handle caller’s inquiry whenever possible. Attend initial calls for office, residential or retail spaces for rent or sales. Receive, direct and relay telephone messages (usually thru email) to the designated person.  Greet, assist and/or direct visitors to the appropriate area / room.  Update the Daily / Weekly / Monthly Incoming calls, Walk-in, and others this include the time in and time out. Weekly report should submit to the line Manager by cc to CEO & CSM. Prepare and send thru email the Weekly / Monthly Project Tracking Report for tor all incoming and walk in clients inquiring about the projects as per CEO’s request.  Monitor task delegated by the line manager to office assist and company driver.  Assist in keeping the reception and meeting room/s clean and tidy at all times. Arranging the schedule use of the meeting room.  Distribution and filing of Customer Feedback Form  Preparing send out document/s thru courier (e.g. Aramex, Empost or Fedex).Receiving, logging and distribution of mails from post and returned mails  Prepare Comparison sheet for quotation.  In-charge in stationary supplies and marketing materials.  Any other job which is assigned by line manager.
